Meeting Assistant ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data when you use the Meeting Assistant mobile application.
Important: Meeting Assistant processes audio and transcripts from your meetings. You are solely responsible for obtaining consent from all participants before recording any conversation. Laws on recording consent vary by country and region.
1. Information We Collect
Account Information
- Email address and display name (via Google Sign-In or email/password authentication)
- Firebase User ID (automatically assigned)
Meeting & Session Data
- Audio captured during active sessions (processed in real-time; not stored on our servers)
- Speech transcripts generated from your meetings
- AI-generated meeting summaries and detected questions
- Session metadata: date, time, duration, meeting type, and language
Translation Data
- Text entered for translation and the translated output
- Conversation history if you choose to save it
Usage & Technical Data
- App usage statistics (features used, session counts)
- Device type and operating system version
- Crash reports and error logs (collected via Firebase Crashlytics)
- Subscription status and purchase history
2. How We Use Your Information
- To provide real-time speech-to-text transcription during your meetings
- To generate AI-powered meeting summaries and detect questions
- To enable conversation translation between languages
- To store your session history and allow you to review past meetings
- To manage your subscription and process payments via Google Play
- To diagnose bugs and improve app performance
- To enforce usage limits based on your subscription plan
- To send important service notifications (e.g., subscription changes)
3. Third-Party Services
We use the following third-party services to operate the app. Each has its own privacy policy.
Firebase (Google LLC) — Authentication, database (Firestore), crash reporting, and app security (App Check). Firebase Privacy Policy
Deepgram — Real-time speech-to-text processing. Audio is streamed to Deepgram for transcription and is not retained after processing. Deepgram Privacy Policy
Anthropic (Claude AI) — Used to analyse transcripts and generate meeting summaries. Transcript snippets are sent to the Claude API for this purpose. Anthropic Privacy Policy
Google Play Billing — Manages subscription purchases. Payment information is handled entirely by Google and is never stored by us. Google Payments Privacy Policy
4. Data Storage & Security
Your data is stored in Google Cloud Firestore in the United States. We implement industry-standard security measures including:
- Firebase App Check to prevent unauthorised API access
- Encrypted data transmission (HTTPS/TLS)
- Firebase Authentication for secure account access
- Server-side security rules that restrict data access to the account owner only
5. Data Retention
- Session transcripts and summaries are retained until you delete them or delete your account
- Audio is never stored — it is processed in real-time and discarded
- Usage data is retained for 12 months for billing and analytics purposes
- Crash logs are retained for 90 days
6. Your Rights
You have the right to:
- Access your data — view all stored sessions and conversations in the app
- Delete individual sessions or conversations at any time within the app
- Delete your account — contact us to permanently delete your account and all associated data
- Export your data — contact us to request a copy of your stored data
- Opt out of crash reporting — crash reporting is disabled in debug builds and can be discussed for specific users
Depending on your location, you may also have rights under GDPR (EU/UK), CCPA (California), or other applicable laws.
7. Children's Privacy
Meeting Assistant is not intended for children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the date at the top of this page and, where appropriate, through an in-app notification. Continued use of the app after changes are posted constitutes acceptance of the updated policy.
